Who controls your information
We act as controller for our own accounts, websites, subscriptions, security and support. Where a building owner, factor, employer or facilities-management customer decides how resident, staff, visitor or contractor information is used, that customer is normally the controller and we act as its processor.
Information we use
We may use identity, contact, role, building, unit, account, resident request, staff contract, task, attendance, NFC or QR checkpoint, incident, key, package, asset, photograph, file, signature, notification, billing-reference, device, authentication and audit information. We do not intentionally store full payment-card details.
Why we use it
We use information to provide and secure the service, administer workspaces and subscriptions, respond to requests, operate buildings, communicate service notices, meet legal duties, prevent misuse and improve reliability. Our lawful bases may include contract, legitimate interests, legal obligation, consent and vital interests in a genuine emergency.
Communications
Account, safety, incident, appointment, delivery, building and service updates are operational messages. Marketing is kept separate and sent only where an appropriate permission or other lawful route applies, with a simple opt-out.
Sharing and transfers
Information is shared only as needed with authorised customer administrators, assigned staff and contractors, residents, hosting, communication and payment providers, professional advisers, and authorities where required by law. Access is limited by tenant, building, role and operational need. Appropriate safeguards are required for restricted international transfers.
Retention and security
Information is retained only for its operational, contractual, security and legal purpose, then deleted or anonymised under our retention schedule. Measures include role-based access, tenant separation, password hashing, MFA capability, protected uploads, rate limits, audit logging, restricted origins, backups and incident procedures.
Your rights
You may have rights to access, correct, delete, restrict, port or object to the use of your information, and to withdraw consent where consent applies. Email hello@signacula.com, identifying the relevant building, employer or workspace. We may verify identity and consult the responsible controller.
You may complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the opportunity to address your concern first.
Changes
We update this notice when processing materially changes and communicate significant changes through the service or an appropriate contact channel.
